Studio Receptionist & Administrator

Role information:

  • Position: Part-Time Studio Receptionist and Administrator

  • Working Hours: 24hrs per week across four days. Tuesday 9am - 1:30pm, Wednesday 11am - 8pm, Thursday 9am - 6pm, Saturday 9:30am - 1:30pm – additional weekend and event hours available

  • Fee: Hourly rate based on National Minimum Wage 

  • Location: DanceWest Studio, Sands End Arts & Community Centre, Peterborough Road, London, SW6 3EZ

  • Contract: Freelance contract, term time only (usually between 10 and 12 weeks across Jan - March, April - July and Sept - Dec)

DanceWest is a registered charity dedicated to transforming lives through dance. Since 2014, we have delivered high-quality dance programmes, tackling issues such as poor health, socio-economic disadvantage, and unequal access to physical activity. With a mission of 'Dance for everyone, everybody', we engage 25,000 people annually in 50 weekly classes across seven West London boroughs. In 2021, we opened DanceWest Studio, a vibrant and inclusive community space offering affordable classes for all ages and abilities.

About the Role

DanceWest is seeking a friendly and organised Receptionist and Administrator to provide excellent customer service and administrative support at our studio. As the first point of contact, you will play a crucial role in creating a welcoming and professional environment for participants, parents, and artists.

A valid enhanced DBS check is required for this position. DanceWest can support the successful candidate in obtaining one.

Key Responsibilities

Front Desk & Customer Service

  • Greeting and Check-in: Welcome students, parents, and visitors as they arrive at the studio. Check them in for classes, workshops, or appointments.

  • Answering Enquiries: Respond to phone calls, emails, and in-person inquiries about class schedules, pricing, studio policies, and other relevant information.

  • Customer Service: Provide exceptional customer service by addressing concerns, resolving issues, and assisting with any special requests from students, parents, or visitors.

Scheduling & Registration

  • Scheduling: Assist in scheduling classes, private lessons, and studio rentals. Maintain an organised calendar and ensure accurate class information is provided.

  • Registrations and Payments: Help with the registration process by collecting necessary forms and payment information. Process payments and maintain accurate records of financial transactions.

  • Appointment Scheduling: Assist in scheduling appointments for potential new students to visit the studio, take a tour, or try a trial class.

Studio Operations & Maintenance

  • Maintaining Cleanliness: Keep the reception area neat and tidy. Ensure that the studio's appearance reflects a professional and inviting environment.

  • Inventory Management: Keep track of studio supplies such as merchandise, dance attire, and other materials, and ensure they are stocked as needed.

  • Security and Safety: Monitor who enters and exits the studio premises, ensuring the safety and security of students and staff.

Marketing & Event Coordination

  • Marketing and Promotion: Assist in promoting the studio's classes, workshops, events, and performances by distributing flyers, updating social media platforms, and assisting with marketing initiatives.

  • Event Coordination: Assist in organising studio events, parties, showcases, and workshops, including handling registrations, coordinating logistics, and providing support during the events.

Administrative & Technical Support

  • Administrative Support: Provide general administrative support, which may include photocopying materials, organising documents, and assisting with studio-related projects.

  • Technology and Software: Utilise studio management software and other tools to manage class schedules, payments, and customer information accurately.

  • Communication: Maintain professional, clear, and effective communication with teachers, students, parents, and other staff members to ensure a smooth operation of the studio.

Person Specification

Essential Criteria:

  • Experience in administration, reception, or customer service.

  • Strong communication and interpersonal skills.

  • Excellent organisational and time management skills.

  • Ability to multitask and problem-solve in a busy environment.

  • Proficiency in using Google Suite (Docs, Sheets, Gmail) and other office software.

  • Enthusiasm for dance, the arts, or community engagement.

Desirable Criteria:

  • Experience in studio or arts administration.

  • Knowledge of safeguarding and child protection practices.

  • Social media or marketing experience.

  • Basic knowledge of finance administration (payments, invoicing).

  • First Aid or Mental Health First Aid certification (training provided if needed).

  • Knowledge of the local community
